Refund & Cancellation Policy
What you can cancel, what you can get back, and exactly how long each step takes. If a situation isn’t covered here, write to us — we would rather sort it out than hide behind a clause.
Effective date: TODO · Last updated: TODO
Every deadline in one place
- Cancellation notice
- Give us at least TODO days' written notice before your next billing date to cancel without being charged for the following month.
- Refund request window
- Refund requests must be raised within TODO days of the charge you are disputing.
- Our response time
- We acknowledge every refund request within TODO business days and tell you our decision within TODO business days.
- Time to process an approved refund
- Approved refunds are initiated within TODO business days of approval.
- Time for money to reach you
- Once initiated, funds typically reach your account within TODO business days, depending on your bank and payment method. This part is outside our control.
What is refundable
Monthly platform subscription
The subscription is billed monthly in advance. If you cancel with the required notice, you are not charged again and your access continues to the end of the period you have already paid for.
Part-months are TODO — confirm whether unused days of a paid month are refunded pro rata or not refunded at all.
Implementation and onboarding fee
This covers work we perform once, up front: provisioning, configuration, branding, data migration, and team training.
- Before provisioning starts: refundable in full, less TODO% to cover work already carried out.
- After provisioning has started but before handover: refundable pro rata against work completed — TODO: confirm how this is calculated.
- After handover and training are complete: not refundable, as the work has been delivered.
Cloud infrastructure charges
These are billed at the provider’s actual cost and are consumed as they are incurred. Infrastructure already consumed is not refundable. We stop incurring them on your behalf once the deployment is decommissioned.
What is not refundable
- Infrastructure and third-party charges already consumed on your behalf.
- Implementation work already delivered, where handover and training are complete.
- Periods during which the service was available and usable, whether or not you actually used it.
- Suspension or termination resulting from your material breach of our Terms of Service.
If we fail to deliver
If we are unable to deliver the service — we cannot provision your deployment, or we terminate the agreement for reasons that are our fault rather than yours — you are entitled to a refund of fees paid for the undelivered portion. Where a committed service level applies and we fall short of it, any service credits are as set out in your subscription agreement. TODO: confirm whether service credits are offered.
How to cancel or request a refund
- Email ophirelsystems@gmail.comfrom the address associated with your account, with the subject line “Cancellation” or “Refund request”.
- Tell us your business name, the charge concerned, and briefly why. You do not need to give a reason to cancel, only to request a refund.
- We acknowledge within TODO business days and confirm our decision within TODO business days.
- If approved, we initiate the refund to the original payment method within TODO business days.
Refunds are made in Indian Rupees to the original payment method. We do not issue refunds in cash or to a different account than the one payment came from.
Before you cancel, request your data export — see our Privacy Policy for what happens to your data after termination.
Disagreements
If you are unhappy with a refund decision, reply to us and it will be reviewed by the founder directly. Unresolved disputes are governed by the laws of India and subject to the exclusive jurisdiction of the courts at Chennai, Tamil Nadu, as set out in our Terms of Service.
Something not covered here?
Ask. A person reads the inbox, and we would rather fix a problem than argue about whether a clause covers it.
